Position Summary
The Grant Administration Specialist is responsible for managing the full lifecycle of CUAHSI’s grant activities, including proposal preparation, compliance monitoring, post-award management, and reporting. Serving as the primary liaison for grant-related matters, this role ensures alignment with sponsor guidelines and maintains audit-ready documentation. The specialist works collaboratively with internal teams and external partners to help optimize administrative processes, support successful funding outcomes, and promote organizational sustainability and compliance.
Key Responsibilities
Grant Application & Proposal Development:
- Research funding opportunities and confirm CUAHSI eligibility.
- Guide proposal teams on sponsor requirements and submission procedures.
- Coordinate with staff and subrecipients to compile and review proposal materials.
- Maintain and update standard proposal documents in advance of deadlines.
- Review drafts for compliance with solicitation guidelines.
- Track application timelines to ensure on-time submission.
Grant Compliance & Administration:
- Serve as the primary post-award liaison, ensuring compliance with sponsor terms.
- Maintain up-to-date pre-award and compliance guidance for PIs and managers.
- Prepare and manage subrecipient agreements for execution.
- Administer NSF and other sponsor submissions via eRA Commons and similar systems.
- Lead subrecipient monitoring, including certifications, audits, and oversight of recipient performance processes.
- Lead close-out procedures for grants and other agreements
Reporting & Communication:
- Solicit and collate content from project staff and finance team to submit timely annual and final reports, as required by funders.
- Collaborate with finance teams to reconcile grant expenses, address discrepancies, and maintain up-to-date budget reports.
- Communicate key milestones, deadlines, and compliance updates to CUAHSI leadership and collaborators.
Policy and Guidance Development:
- Keep current with evolving grant regulations, sponsor policies, and industry best practices, advising leadership on necessary adjustments.
- Develop and refine internal procedures and guidelines for grant administration, subrecipient monitoring, and reporting protocols.
- Identify areas of risk or inefficiency in existing grant management processes and propose processes or strategies for improvement.
- Promote consistent documentation, uniform reporting data, and audit-readiness for grant-related information.
Required Qualifications:
- Bachelor’s degree (in a relevant field – business administration, public administration, or finance – a plus).
- Minimum of 4 years of experience in grants administration, including post-award oversight.
- Working knowledge of federal grant regulations.
Required Skills:
- Excellent organizational abilities and attention to detail, especially in budget monitoring and compliance.
- Strong written and verbal communication skills.
- Ability to effectively manage and prioritize multiple tasks simultaneously to produce high-quality outcomes within set deadlines.
- Ability to work and problem-solve effectively independently as well as work collaboratively in a dynamic and interdisciplinary environment
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with basic accounting or financial software.
- Ability to handle sensitive information with integrity and discretion.
Working Conditions:
- Remote work environment; reliable internet access and comfort with virtual collaboration tools are essential.
- Work often includes collaboration on small teams and/or evolving external partners; responsibilities may shift as needed.
- Occasional travel or additional hours may be required for team meetings, annual audit assistance, or during high-volume proposal deadlines.
