Administrative Assistant - CUAHSI

Duties and Responsibilities

  • Provide administrative support to CUAHSI's management and staff
  • Manage designated staff calendar using Outlook; schedule and coordinate meetings, events and conference calls
  • Coordinate domestic travel for management as well as internal and external clients within the community 
  • Provide meeting support; prepare agenda, develop professional; presentations, manage required documents, reports and other h handout, monitor meetings, and take meeting minutes
  • Compose and edit memos, letters or other correspondence
  • Handle highly confidential, sensitive and/or critical information, files, records and reports
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipate needed supplies evaluate new office products; place and expedite orders for supplies; verify receipt of supplies
  • Ensure operation of equipment by completing preventative maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
  • Work with the Finance Team to assist with Accounts Payable & Accounts Receivable duties as needed 
  • Assist with Membership registration, invoicing, payments and communications
  • Assist with monthly financial close, reviewing various balance sheet accounts for accuracies and preparing documents such as reconciliations
  • Assist with the annual financial audit process
  • Other duties as assigned

Qualification Requirements

  • High School Diploma or equivalency required, associate degree preferred 
  • At least 1 -2 years of administrative experience with demonstrated ability to support senior management 
  • Experience in non-profit, higher education, or scientific environment is a plus
  • Proven experience working on divers administrative assignments with competing priorities 
  • Proven office management experiences that includes financial duties is a plus

  • Strong interpersonal skills and initiative 
  • Solid written and verbal communication skills 
  • Meticulous attention to detail
  • Self-started who will take initiative to drive results with minimal supervision 
  • Proficiency in Microsoft Office Suite required; experience with SharePoint is a plus
